Setup

Connect Outlook Calendar first

Teams meetings require Outlook/Office 365 Calendar integration

Go to Integrations

Navigate to Settings → Integrations → Video

Enable Microsoft Teams

Click “Enable Microsoft Teams”

Authorize access

Grant permissions to create Teams meetings

Enable for booking types

Select which appointment types should include Teams links

How it works

  1. Customer calls and wants to book an appointment
  2. AI confirms the appointment details
  3. CallDesk creates an Outlook event with Teams meeting
  4. Customer receives invite with the Teams link
  5. Both parties can join with one click

Microsoft 365 benefits

Teams integration leverages your Microsoft 365 environment:
  • Familiar interface - Customers who use Teams know how to join
  • Recording - Available with Microsoft 365 Business Basic and higher
  • Live captions - Real-time transcription in meetings
  • Breakout rooms - Available for larger meetings

Admin approval

Some Microsoft 365 organizations require admin approval:
  1. Your IT admin may need to approve CallDesk in Azure Active Directory
  2. Contact your admin and request access
  3. Once approved, you can complete the connection

Not every appointment needs video. Configure which bookings get Teams links:
  • All appointments - Every booking gets a Teams link
  • Specific types - Only consultations, not service calls
  • On request - AI asks if customer wants video option

Requirements

  • Microsoft 365 account with Teams
  • Outlook Calendar connected to CallDesk
  • Admin approval (some organizations)
  • No additional cost from CallDesk

Troubleshooting

You must connect Outlook Calendar first. Go to Settings → Integrations → Calendar.
Your organization restricts third-party apps. Contact your IT administrator.
